Pathways Employment Help Centre (PEHC) exists to Unleash People's Potential through employment, skills training, and advocacy. We are seeking a highly efficient and resourceful Administrative Assistant who thrives in a fast-paced environment and plays a pivotal role in supporting our mission.
Position Overview: As an Administrative Assistant at PEHC, you will manage multiple responsibilities, from working with databases and creating spreadsheets to scheduling and coordinating calendars. You’ll have the opportunity to identify process improvements and contribute to the team with critical thinking and problem-solving skills.
Key Responsibilities:
- Manage databases, track information, and maintain accurate records
- Communicate effectively with clients, caseworkers and funders demonstrating strong interpersonal and customer service skills
- Create and update spreadsheets, reports, and documents
- Coordinate and manage calendars, meetings, and scheduling efficiently
- Provide backup support to reception and other administrative functions
- Collaborate with team members to streamline workflows and enhance efficiency
- Proactively identify and recommend process improvements
Skills and Experience Required:
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint), particularly the ability to build and maintain spreadsheets.
- College Diploma in administration or business an asset
- 3-4 years previous experience in a related field
- Typing speed of at least 50 wpm with high accuracy
- Exceptional organizational skills, attention to detail, and ability to multitask
- Strong customer service orientation and team collaboration abilities
- Critical thinking and problem-solving skills to navigate challenges and find solutions
- Previous experience with CaMS or Web Tracker is an asset but not required
